The Office Manager Duties include:
- Supervising all administrative functions necessary for the operation of the department. these duties involve interviewing applicants, selection of new assistants and coordinating their assignments.
- Keep accurate payroll records, payroll certifications and personnel action forms of all dept employees.
- Coordinates maintenance of leave record for all employees and management.
- Sends weekly reports to payroll dept.
- Prepare all recruiting and hiring records for the dept.
- Prepare all travel requests, travel reimbursement requests, short invoices, requisitions, work orders and purchase orders.
- Orders all appropriate materials and supplies for employees and management on a quarterly basis.
- Sets up as needed and maintains all official records and files, including administrative files, forms, correspondence and memos.
- Assigns workloads and priorities so that deadlines are met in a timely fashion.
- Supervises the security of all files, including personnel files of employees
- Opens and closes the four offices used.
- Responsible for the security of each office, the maintenance of telephone coverage, and the routing of messages and visitors.
- Supervises the incoming and outgoing mail including fax and e-mail.
- Responsible for annual and quarterly reports, promotion papers and employee evaluations.
- Handles replies to routine inquiries from employees, customers and the community.
- Refers non-routine items to appropriate persons or managers. This includes telephone responses as well as initiating correspondence for manager’s signature.
- The office managers would be responsible for effectively coordinate meetings and other office events. They should be comfortable answering inbound phone calls, distributing mail to employees and handling outgoing mail.
